Notifications, Reports & Inquiries

Information is disseminated to ASAP.gov users and organizations through three primary formats: Notifications, Reports, and Inquiries. Notifications are delivered in the form of e-mail and broadcast, home page and online messages. Reports are available in a predefined format and are available for retrieval until manually deleted. Inquiries are similar to Reports; however, if generated in HTML format, are available immediately.

NOTIFICATIONS

Notifications are system-generated messages sent to ASAP user organizations when certain key transactions occur. Key transactions are found in authorizations, payments, accounts, and adjustments. E-mail Notifications are for information purposes and are sent to the e-mail address identified in the organization’s profile. Since the e-mail is sent to an individual user, it is the users responsibility to distribute this information within their organization when necessary. It is important that e-mail addresses remain current so that these E-mail Notifications can be delivered successfully.

Broadcast Messages are general messages to all ASAP.gov users and displayed on the Home page. An example is an announcement of a Federal holiday or a early closure notice.  Home page Messages notify selected users that items are awaiting their action and are displayed as links.  By clicking on the Home page link, the user is navigated to Step 1 of the function pending action. They are different than Broadcast Messages as they are only displayed to users qualified with certain roles (i.e., Certifying Officer ).

Online Notification Messages are for information purposes and can be retrieved by selecting “Notifications” from the drop-down list of Reports functions. This function allows the user to retrieve, view and act upon online Notifications. This is done by first specifying criteria for retrieval, choosing the individual Notification for review, and selecting the Notification message’s desired Action (Read, Unread, Delete). Notifications will remain available in both Read and Unread status until deleted from the list. When new Notifications are delivered, a Homepage Message is displayed.

REPORTS

“Predefined Reports” can be retrieved by selecting this option from the list of Reports functions. Once a Report is selected and criteria identified, it is generated and available for retrieval. Reports are retrieved by selecting “Retrieval Results” from the list of Reports functions. Reports are available in HTML, PDF, PDF-ZIP, CSV , and CSV-ZIP format.

INQUIRIES

A list of Inquiries can be retrieved by selecting this option from the Inquiries function at the top of the screen. Although Inquiries are very similar to Reports, they can be more immediate. Inquiries generated in HTML format pop up in a separate browser window as soon as they are generated. Other formats of Inquiries are available by selecting “Retrieval Results” from the list of Reports functions.
